The Company seeks to limit data sharing to what is necessary and to consider the recipients' authority, the nature of the data, and the relevant legal requirements.

08

Handling Employee and Third-Party Data

Clients may provide the Company with data relating to their employees, partners, representatives, or other individuals for the purpose of delivering the agreed services.

In such circumstances:

  • The Company uses the data within the scope of the service and the authorization granted.
  • Responsibility for determining the purpose of processing and establishing the necessary lawful basis depends on the allocation of responsibilities between the Company and the client, the nature of the relationship, and applicable laws.
  • Clients are responsible, to the extent required by applicable law, for ensuring that providing the data to the Company is lawful and that the necessary authorizations and consents have been obtained where required.
  • The Company does not use employee or third-party data for purposes unrelated to the service unless an independent lawful basis exists.

Where data processing agreements are entered into, the contracts and agreements will specify each party's responsibilities according to its actual role as a data controller, data processor, or other applicable role under the relevant legal framework.

09

The Company retains data and information for as long as necessary to fulfill the purposes for which they were collected, provide services, meet contractual and professional obligations, comply with accounting, tax, and legal recordkeeping requirements, and address potential disputes or claims.

Retention periods may vary depending on the type of document, the nature of the service, the legal requirements of the relevant jurisdiction, and applicable professional or contractual obligations.

When data is no longer required, the Company seeks to delete, destroy, or anonymize it, as appropriate and technically feasible, unless retention is required or permitted by law.

Certain copies may remain in backups or archived records for a limited period in accordance with technical backup cycles and applicable retention procedures, while appropriate measures continue to protect such information.

11

Data Subject Rights

Subject to applicable law, the rights of other parties, and relevant legal exceptions, individuals may have the right to:

  • Understand how their personal data is used and the purposes of processing.
  • Request access to their personal data or information about it.

  • Request deletion of data or restriction of processing where permitted by law.
  • Withdraw consent where processing is based on consent, without affecting the lawfulness of processing carried out before the withdrawal.
  • Object to certain types of processing or request that processing cease, where such rights are provided by applicable law.
  • Submit a complaint to the competent data protection authority in accordance with applicable procedures.

These rights do not mean that every request can be fulfilled in every circumstance. Certain records may not be deleted or restricted where retention is required by law or where the information is necessary to establish legal rights or fulfill existing obligations.

Requests will be reviewed in light of the requester's identity and authority, the scope of the request, and the relevant legal requirements. The Company may request additional reasonable information to verify identity or authorization before taking action.

Where such documents are required, they should be provided through an appropriate and approved channel for handling professional files.

Individuals may object to marketing communications or request that they stop by using an available unsubscribe mechanism or contacting the Company, subject to any communications necessary to perform an existing contract or fulfill a legal obligation.
